If you're unable to edit a saved search or a People Summary report template, it is likely because it is currently in use by another part of the system. Below are the common causes and recommended solutions.
Common Causes
A saved search or People Summary report may be locked for editing when it is being used by:
- Employee Groups
(Accessible via: Administration > Other > Employee Groups) - Scheduled Exports
(Accessible via: Administration > Setup & Security > Scheduled Export)
When a saved search is in use, the “Save” button will be hidden, and only the “Save As” button will appear. This is an indication that the search is linked to another function.
Saved searches used by these functions will also display a small icon next to their name to indicate that they are in use.
How to Edit a Locked Search or Template
If your Saves Search is used by an Employee Group:
- Navigate to Administration > Other > Employee Groups
- Find and temporarily deactivate the employee group
- Change the group Type to Manual and save
- Edit the saved search as needed and click Save
- Return the employee group type to Saved Search and activate it
If either a template or saved search is used by a Scheduled Export:
Unlike employee groups, Scheduled Exports do not allow temporary deactivation. Additionally, they can use both Saved Searches and People Summary report templates.
To edit either of these when used in a scheduled export:
- Navigate to Administration > Setup & Security > Scheduled Export
- Locate and terminate the scheduled export
- Make the necessary changes to the saved search or report template
- Create a new scheduled export using the updated report
Note: It is not possible to edit the contents of a scheduled export directly, except for changing the Export Targets.
