Cezanne HR and Cezanne Learning: integration overview

Learn how the Cezanne HR and Cezanne Learning integration works, including how people and access are synced, how joiners, movers and leavers are handled, how compliance completions can flow back to Cezanne HR, and how to monitor and troubleshoot the sync.

What the integration does

The integration keeps Cezanne HR and Cezanne Learning in sync, with Cezanne HR as the single source of truth. People, joiners, changes and leavers flow automatically into Learning, with no spreadsheets or manual uploads.

Compliance training completions can also flow back into Cezanne HR if you choose, while both platforms continue to operate independently.

Getting started: we set it up for you

Our Implementation team connects the two systems as part of your onboarding. There's no technical setup for you to build or maintain.

During setup, we'll agree:

  • Who gets access: which groups should have Learning accounts.
  • What they can do: the Learning role assigned to each group.
  • What information flows across: default mappings can be adjusted to suit your setup.
  • Whether completions flow back: compliance completions can optionally be written back to Cezanne HR.

Custom fields

Organisation: org unit, org unit name, company, cost centre. Employment: contract term, employment status, termination date. Personal: known as, pronouns. Protected characteristics: disability level, disability type, whether the employee considers themselves disabled, ethnicity, gender, nationality, race, religion or belief, sexual orientation

Optional. Each arrives in Learning as a custom field, ready to use as a filter in reports and to target learning at exactly the right groups, with membership kept up to date by Cezanne HR.

Email, first name and last name are required. If any of these are missing, the person is skipped and the reason is recorded in the Sync Log.

Who gets access, and what they can do

Learning access is controlled through Cezanne HR security roles. Each Cezanne HR security role can be mapped to a Learning role, and the integration keeps access in sync.

Groups who don't need the platform

For example, you might map HR Professionals to Administrator and everyone else to Learner. Your Implementation consultant can help you set up these mappings, and they can be changed later.

Things to know

  • If someone has more than one Cezanne HR role and any of them is mapped to No Access, they are excluded from Learning.
  • Additional Learning capabilities, such as Team Manager or Coach, are managed in Learning and aren't affected by the integration.
  • Some Learning roles, such as Owner, are outside the integration and aren't changed by it.

Joiners, movers and leavers

This behaviour applies once the integration setup is complete.

Joiners: When someone is added to Cezanne HR, their Learning account is created automatically. They don't receive an email or notification and can't access Learning until their Cezanne HR account is active.

Movers: Changes to a person's name, role, department, manager or other synced details are automatically updated in Learning.

Leavers: When someone leaves, their Learning account is deactivated rather than deleted, so their learning history is preserved. If they re-join, the account is reactivated automatically. If their Cezanne HR record is deleted entirely, their Learning account is also deleted.

Signing in

People access Learning through the Learning tile in Cezanne HR using single sign-on. No separate Learning password is required.

Compliance evidence in Cezanne HR

If enabled, compliance training completions are automatically written back to the person's Cezanne HR record as completed development activities.

This provides a record of compliance training in Cezanne HR without exporting or re-entering data.

What gets sent to Cezanne HR

Only learning marked as compliance learning is included:

  • Compliance items
  • Compliance events, once attendance has been recorded
  • Compliance learnlists
  • Compliance channels

Quizzes and surveys aren't synced because they can't be marked as compliance learning.

The date they completed it. This is recorded as both the start and the end date, because a completion is a single moment rather than a period.

A unique reference number, generated automatically for every record.

A few things to know:

  • Only compliance learning is sent to Cezanne HR. Other learning activity remains in Cezanne Learning.
  • The connection is set up securely by the Implementation team.
  • Sending completion data back is optional and can be changed later.

How often everything syncs

Data is kept up to date automatically:

  • Every night: A full sync runs for all people.
  • In real time: Changes to a person's details are sent to Learning immediately.
  • When someone signs in: A real-time sync runs for that person.
  • When integration settings change: A full sync runs automatically.
  • On demand: Sync now runs a full sync immediately.

If a connection issue prevents an update, it is picked up by a later automatic or nightly sync.

Only people whose details have changed are sent across during regular updates.

Keeping track

The Sync Log in Cezanne HR shows what happened during each sync, including people who were created, updated or skipped and the reason for any issues. Entries are kept for 30 days.

If Learning is temporarily unavailable, you can continue using Cezanne HR as normal. Outstanding updates will sync when the connection is restored. 

Frequently asked questions

Someone I expected to see in Learning isn't there.

The usual reasons are a security role mapped to No Access (or not mapped at all), or a missing email, first name or last name in Cezanne HR. The Sync Log will show the specific reason.

Can we exclude a specific person from Learning?

Exclusion works through security roles rather than individuals: any role mapped to No Access keeps its people out of Learning. If one person needs excluding, give them a security role that's mapped to No Access.

What happens if someone has more than one user account in Cezanne HR?

They get one Learning account, not two. Their level of access comes from their active account, and if any of their accounts is set to No Access they're excluded altogether.

I've mapped a role to No Access but those people still appear in Learning.

Changing a mapped role to No Access triggers a real-time sync, which runs a full sync across your whole tenant as soon as you save. Any account that now maps to No Access is deactivated straight away, so there's no need to use Sync now.

The nightly sync sits behind this as a backup, in case anything doesn't go through.

What if two people share the same email address?

Each person needs their own unique email. Rather than mixing two people's records together, the sync keeps one record and holds the other back, recording the reason in the Sync Log so you can correct the email in Cezanne HR.

Which record is kept is decided in this order:

  1. An active Cezanne user account first.
  2. Someone still employed (not on a final sync).
  3. The earliest employment start date.
  4. The original order, used only as a final tie-break.
Will new starters get an email about Learning?

No. Accounts are created quietly in the background, and people simply use the Learning tile in Cezanne HR when they're ready.

A leaver still appears in Learning.

That's expected. Leavers are deactivated rather than deleted, so their learning history is preserved and they no longer have access.

I've just added someone and their manager isn't showing in Learning yet.

A sync should always pick the manager up first, so a missing manager usually points to something worth checking rather than a delay. Either the manager's own record hasn't synced successfully, or the reporting line isn't set correctly on the Cezanne HR side.

The Sync Log is the best place to start, as it will show any issue against the manager's record.
