Understanding Clock-In and Clock-Out exceptions

Learn what clock-in and clock-out exceptions exist within the Cezanne Time module and how they can be configured.

To help track and monitor attendance, Exception rules can be enabled on a Clock In / Clock Out plan. If these rules are broken, like an employee failing to Clock In or Out, an exception will be raised to HR Professionals and Line Managers who have been given access to the Exceptions screen.

 Exceptions allow you to:

  • Create warnings when specific triggers are met
  • Allow employees to edit their own timesheets (with approval)

Exception types

Exception Detail Recommendation
No Clock-In Recorded  This will raise an exception to an employee’s line manager if they did not clock-in the previous day.   None
No Clock-Out Recorded  This will raise an exception to an employee’s line manager if they did not clock-out the previous day (only if they clocked in on the same day).   None
Clock in/out manually edited or added by employee  This will raise an exception to an employee’s line manager if they added to or edited a Clock-in/out record None
Clock in on a non-working day 

This will raise an exception to an employee’s line manager if they clock-in during a day that they are not scheduled to work.

This will check against that employee’s working time pattern and absences.

None
 Different time zones  

This will raise an exception to an employee’s line manager if they clock into a device set to a different time zone.

The second tick-box will check if the time zones are equivalent. If they are equivalent, then no exception will be raised.

Clock In – Earliest Time   This will raise an exception to an employee’s line manager if they clock in before the earliest time set.  If employees need to clock in at 9am, we recommend setting the earliest time to be 8:55am 
Clock In – Latest Time   This will raise an exception to an employee’s line manager if they clock in after the latest time set If employees need to clock in at 9am, we recommend setting the latest time to be 9:05am 
Clock Out – Earliest Time   This will raise an exception to an employee’s line manager if they clock out before the earliest time set.  If employees need to clock out at 5pm, we recommend setting the earliest time to be 4:55pm  
Clock Out – Latest Time   This will raise an exception to an employee’s line manager if they clock out after the latest time set If employees need to clock out at 5pm, we recommend setting the earliest time to be 5:05pm 
Minimum / Maximum Hours   This will raise an exception to an employee’s line manager if the employee works less than the listed minimum or more than the listed maximum hours.   None
