How to delete Appraisals

This article will outline the methods of deleting appraisals from employee's records. This will be necessary if you want to make a change to an appraisal form that has already been assigned to employees.

 

If you are deleting an appraisal, please note that any information in the appraisal will also be deleted. If an employee has already filled out the appraisal, you will either need to manually add back the information or ask the employee to fill it out again.

1. Manually deleting the appraisal

If you have assigned an appraisal to an employee, either through a performance review, import or manually adding it, you can delete it by clicking the delete option on the appraisal:

2. Using an import to bulk delete appraisals

If you need to fix an appraisal form that has been assigned out to many employees, you can use the Employee Appraisals Import to do this. The instructions below will outline how to do this starting from the performance review itself.

1. Terminate the processes

You can only delete an appraisal if there is no ongoing process for that appraisal. If the processes for this appraisal have not yet been terminated, you will need to click 'terminate all' on the performance review:

2. Getting the information for the import

The import will require some specific information, such as the: import key, person code, effective from date, appraisal form name, appraisal type and review type. You can get this information by going to    

Administration >> Performance >> Appraisals >> Advanced Search >> Filter for the appraisal and also add in import key and person code to the columns:

Once you have done this search, you can click on Actions >> Export to spreadsheet. This will provide you with a report that you can copy and paste into the import.


3. Downloading and completing the import

You will need to download the import by going to

Administration >> Imports & Batch >> Performance >> Employee Appraisals:

You can then click 'download' to download a template for this import.

Once this has been downloaded, you can copy and paste over information from the report into this template. 

For other columns, you can put a 1 in the Primary Appraisal column if the appraisal itself is primary, or 0 if it is not primary. You will also need to put a D in the actions column, which will let the system delete the appraisal.

Once you have completed the import, you can upload this and run the import:

When the import has finished, you should be able to then make any changes to the appraisal form itself.

If you are deleting an appraisal that has been filled in and need to manually add this information back after, you can click Ctrl + P on the appraisal screen to save a copy of the appraisal. This will make it easier to fill in the new appraisal.
