How Do I Resolve Error 103136?

You may encounter the following error when attempting to close an employee’s deployment: “Employee A currently has a reporting override to Employee B from dates X and will need a new reporting relationship to be defined before you can proceed.”

This error typically appears in scenarios such as:

  • Adding a new Position
  • Assigning a new Org Unit
  • Processing an employee as a Leaver

Why This Happens

The error occurs because the system prevents you from closing a deployment that other employees are still reporting into. When you attempt to close or replace an employee’s current deployment, but other team members (direct reports) are still assigned to report into that position, the system requires you to update their reporting relationships first.

How to Resolve It

  1. Identify all employees currently reporting into the deployment of Employee B that you intend to close.
  2. Temporarily assign those employees to report to someone else.
  3. Close off Employee B’s current Deployment and add in their new one (if applicable).
  4. Reassign the original direct reports to Employee B’s new deployment record (if applicable).

 

Example

Nancy has got a title change as of 31/05/2025 therefore we need to close off her current deployment as of 30/05/25. If we try to close Nancy’s current deployment as of 30/05/2025, and other employees are still reporting into that position, we will receive the error mentioned below. To continue, update the reporting relationships as outlined above, then proceed with the deployment change.

 

To fix this issue, we’ll need to temporarily reassign the affected employees’ reporting lines. If Nancy’s deployment ends on 30/05/2025, and Brenda is reporting to her (open-endedly), we will need to update Brenda’s reporting relationship before making changes to Nancy’s deployment.

Steps:

  1. Navigate to:
    Brenda’s Profile > Deployment > Org Units/Positions > Select Entry > Reports To
  2. Add a temporary ‘Reports To’ assignment effective from 31/05/2025 (the day after Nancy’s deployment ends) and add an end date for Nancy.

  3. Once Brenda’s reporting line has been updated, you can return to Nancy’s profile, navigate to her Deployment, and successfully close off her current deployment.



  4. With Nancy’s new deployment now in place, we can return to Brenda's Deployment Record and update the 'Reports To' field to reflect Nancy's new deployment


 

Note:

If the employee whose deployment you're updating has multiple direct reports, you'll need to repeat these steps for each direct report before you can add the new deployment.

This error can also occur when a manager’s deployment date is moved to an earlier time, but their subordinates’ reporting relationships are set to begin after that date. In this scenario you would still need to follow the above steps.
