Changes made directly to a user’s security role on Litmos are automatically overwritten overnight by the Cezanne integration when Enable Overnight Sync is activated.
Why This Happens?
Integration Mapping
If Enable Overnight Sync is active. The Cezanne–Litmos integration reads and overnight sync its security-role rules from Administration > Setup & Security > Integrations > Litmos > Security Role Setup.
- Only the roles listed here are preserved.
- Any unlisted roles default to the “Self Service” level.
- If an employee is set up with one of Cezanne’s standard roles and you change their role in Litmos, the system will revert them overnight to whatever role Cezanne has assigned—e.g. “Self Service” to “Learner” or “Line Manager” to “Team Leader”—regardless of any manual adjustments in Litmos.
Default Behavior
If a role isn’t in the integration mapping, Litmos resets the user’s access to whatever “Self Service” is configured as (typically Learner).
When You Need a Custom Litmos-Only Admin Role
If you want a Self Service user (or any other role) to have Litmos administrator or account-owner rights without being forced back to Learner/Team Leader overnight, you can:
1. Create a Unique Security Role
- Go to Administration > Setup & Security > Security Roles
- Click Add New Security Role
- Set:
- Security Role Type: Self Service (Or Line Manager)
- Based On: Self Service (Or Line Manager)
- Security Role Type: Self Service (Or Line Manager)
- Save with a clear name (e.g., Litmos Admin Self Service)
2. Map the New Role in the Integration
- Return to Administration > Setup & Security > Integrations > Litmos > Security Role Setup
- Click Add New
- In Security Role, select your custom role (e.g., Litmos Admin Self Service)
- In Access Level, enter Administrator
- Click Save
Result
- Your custom role remains “Self Service” in Cezanne but retains Administrator rights in Litmos, and it will not be overridden overnight.
