The Holiday Balance search allows HR professionals to generate reports on employees' remaining holiday entitlements. However, there are instances where some employees or their holiday data do not appear in the report.
How to Use the Holiday Balance Search
To generate a holiday balance report, follow these steps:
- Click on the search button.
- Ensure "People" is selected in the dropdown menu.
- Click on the “...” button (more options).
- Tick the box labeled Holiday Balance and click "Apply."
- Now, Holiday Balance will be available in the search menu
Why Some Employees Don’t Appear in the Search
If certain employees are missing from the holiday balance report, there are two common reasons for this:
- Absence Plans Are Not Assigned to Employees
Some employees may not appear in the report because they do not have any absence plans assigned to them. Absence plans are necessary for the system to calculate and track holiday balances. Without an assigned plan, no holiday data will be available for those employees, resulting in them being excluded from the report.
Solution:
Check the profiles of the missing employees and verify that they have the appropriate absence plans assigned to them. Once an absence plan is added, the employee’s data should appear in the Holiday Balance search. - Absence Plans Use the 'Whole Days' or 'Working Week Pattern Daily' Calculation Rule
The second common issue occurs when employees are on an absence plan where the Calculation Rule is set to "Whole Days." or 'Working Week Pattern Daily'. Currently, absence plans with this setting do not pull through onto the Holiday Balance search. This limitation prevents the report from displaying employees on these specific plans.
Solution:
In this case, the best alternative is to use the Absence Plans search instead. This search allows you to pull the most of the same columns (entitlement, total taken, and total remaining), and it includes employees with absence plans set to the Whole Days rule.

- Click on the search button.
- Ensure "People" is selected in the dropdown menu.
- Click on the “...” button (more options).
- Tick the box labeled Absence Plans and click "Apply."
- Now, Absence Plans will be available in the search menu.
